Timeframes for Submitting Initial NC-TOPPS Interviews

Initial interviews should be completed with the member during an in-person interview and submitted into the NC-TOPPS web-based system by the second treatment visit. They should not be submitted before the member is formally enrolled with the LME/MCO.

Timeframes for Submitting NC-TOPPS Updates

All subsequent interviews are due based on the date the initial interview was submitted into the NC-TOPPS system.

• Three-month updates are due: 90 days following the initial episode submission
• Six-month updates are due: 180 days following the initial episode submission
• 12-month updates are due: 365 days following the initial episode submission 
• Biannual updates are due: 18 months, 24 months, 30 months, etc., after the initial submission (until the episode completion is submitted)

There is a two week (14 days) grace period before and after the update due date. Any interview submitted outside the two weeks is considered out of compliance. After 30 days, you will no longer be able to submit the current interview until the next one is due.

Each agency is expected to maintain at least a 90% on-time submission rate.
